Office Administrator/Design Assistant

Thayer Design Build is seeking an experienced Office Administrator (possibly an individual with a desire to grow in their design career) to support company leadership and oversee the administrative systems that keep our business running efficiently. This role is designed for someone who brings confidence, judgment, and consistency to their work and takes pride in being a steady, trusted presence in a high-performing organization.
This is first and foremost a strong administrative seat. In addition, it offers exposure to our design department for the right candidate. It is a hybrid, cross-departmental role that can grow in more than one direction depending on performance, interest, and company growth.
About the Role
The Office Administrator is a key operational role responsible for managing administrative workflows, coordinating information, and ensuring day-to-day execution stays organized and on track. This position exists to remove friction, support leadership priorities, and make sure important details and follow-ups are handled without prompting.
You’ll work closely with leadership in a fast-moving, high-standards environment where initiative, discretion, and reliability are essential. This is not a task-by-task role. It requires ownership, sound judgment, and the ability to manage responsibilities independently.
In addition to core administrative responsibilities, you will operate inside our design-build environment and support the design team as needed. You will gain meaningful exposure simply by being part of the process and working alongside experienced designers.
What You’ll Do
- Own and execute a wide range of administrative and office operations
- Manage spreadsheets, documents, tracking, and data entry with accuracy and consistency
- Handle incoming and outgoing phone calls, emails, and correspondence professionally
- Manage internal requests and track follow-ups
- Coordinate schedules, information flow, and task completion across the office
- Maintain organized systems, files, and internal processes
- Anticipate needs, identify gaps, and take action
- Ensure tasks are completed thoroughly, correctly, and on time
What We’re Looking For
- Proven experience as an Office Administrator or senior administrative professional
- High school diploma or equivalent required (formal education beyond high school is welcome)
- Strong organizational skills and attention to detail
- Confidence working with spreadsheets, documents, and internal systems
- Clear, professional written and verbal communication skills
- Comfortable working independently and managing priorities without close supervision
- Reliable follow-through. If something is assigned, it gets done
- Professional, personable, and steady under pressure
- Humble, hungry, and smart
Construction or remodeling experience is not required. What matters most is experience, judgment, and consistent execution.
A design degree is not required for this role. However, if you hope to become a Designer at Thayer Design Build in the future, a design degree is required. For someone who holds (or plans to pursue) a design degree and demonstrates talent and initiative, there is a pathway over time to transition more fully into design as opportunities arise and as both you and the company grow.
This role is equally well-suited for a high-level administrator who wants to build a long-term career in operations and have meaningful exposure to a design-build firm without necessarily transitioning into design.
